What's the Right ARR-per-Employee Benchmark for Efficient SaaS in 2027?
There is no single right number, because published benchmarks measure different samples. Private SaaS companies sit at a median of about $141K of ARR per employee (SaaS Capital, 15th annual survey, more than 1,000 companies, completed March 2026). Benchmarkit reports about $200K per FTE at $50M-$100M ARR and $300K above $100M ARR. The best performers in the High Alpha / Growth Unhinged 2025 survey report $350K at $20M-$50M ARR and $400K above $50M ARR.
Public SaaS companies are higher still because they are larger. Benchmarkit puts the public SaaS median at $395K of revenue per employee. Dividing 10-K revenue by headcount gives roughly $350K for HubSpot, $423K for Datadog and $498K for Salesforce.
So the practical answer: pick the benchmark that matches your ARR band and funding model, count FTEs the same way the survey does, and treat anything well below the median for your band as a question to investigate, not a verdict. This is a guide to published numbers, not financial advice.
What the published benchmarks say
Each number below is tied to who published it, what year and what sample. Where a source does not publish a figure, it is left out rather than estimated.
- SaaS Capital, 2026 survey (all private SaaS)Median $141,125 of ARR per employee, up from $129,724 the prior year. Sample: more than 1,000 SaaS companies, survey completed March 2026.
- SaaS Capital, $1M-$3M ARRMedian $109,644.
- SaaS Capital, $5M-$10M ARREquity-backed median $152,295; bootstrapped median $177,240.
- High Alpha / Growth Unhinged, 2025 reportBest-in-class ARR per FTE of $350K at $20M-$50M ARR (up 42% year on year) and $400K above $50M ARR (up 50%). Sample: over 800 companies, mostly US B2B SaaS at $5-20M ARR, surveyed August and September 2025. The text does not publish the median or bands under $20M.
- Benchmarkit, 2025 edition (2024 data)$200,000 per FTE at $50M-$100M ARR and $300,000 per FTE above $100M ARR. Sample size for this metric is not stated.
- Benchmarkit, private SaaS by ARRMedian $144K at $5-20M ARR and $300K at $100M+ ARR.
- Benchmarkit, public SaaSMedian revenue per employee of $395K in 2025, up from $327K in 2022, across 134 companies in its SaaS 100 index.

How it changes by stage and ARR band
The one pattern the sources agree on is that ARR per employee rises with size. SaaS Capital says revenue per employee increases as companies grow, and Benchmarkit describes the rising ARR per FTE at each stage, especially from $20M ARR upward, as one of the most positive trends in B2B SaaS.
Using only the published points: $109,644 at $1M-$3M ARR (SaaS Capital), $144K at $5-20M (Benchmarkit), $152,295 to $177,240 at $5M-$10M (SaaS Capital, depending on funding), $200K at $50M-$100M and $300K above $100M (Benchmarkit). The surveys do not share bands, years or sampling, so do not stitch them into one smooth curve.

Funding model matters too. SaaS Capital states that bootstrapped companies show higher revenue per employee than equity-backed companies at each level of ARR. It adds that venture-backed companies generally grow faster, so a lower figure does not mean a company is badly run.
What public SaaS companies show
Public companies do not report ARR per employee, but their annual reports give revenue and headcount. The result is revenue per employee, which is a different measure from ARR per FTE on a survey basis, so use it as context only.
- HubSpot, 10-K for 2025Total revenue of $3.1 billion and 8,882 full-time employees at December 31, 2025: about $350K per employee.
- Datadog, 10-K for 2025Revenue of $3,427.2 million and approximately 8,100 employees at December 31, 2025: about $423K per employee.
- Salesforce, 10-K for fiscal 2026Revenue of $41.5 billion and 83,334 employees at January 31, 2026: about $498K per employee.
The division is mine, using year-end headcount rather than an average. Sources: HubSpot 10-K, Datadog 10-K, Salesforce 10-K and the Salesforce fiscal 2026 results release.
How to calculate ARR per employee
The formula is ARR divided by FTEs. Benchmarkit's wording for the revenue version is annual revenue divided by headcount, and it stresses that the E in FTE stands for full-time equivalent, not full-time employee, so counting part-time staff and offshore vendor developers changes the result.
- Use ARR, not recognized revenue, if you want to compare with SaaS Capital, whose body text defines the metric as ARR per employee.
- Count FTEs, not heads. Convert part-timers and contractors into full-time equivalents, and write down the rule you used.
- Decide on contractors up front. Example: $12M of ARR with 74 employees and 6 FTE of contractors is 80 FTE, or $150,000 per FTE. Leave the contractors out and it reads about $162,000, which flatters you.
- Say when you measured. Year-end headcount against year-end ARR is simplest; an average headcount smooths fast hiring.
What drives the number
Three forces show up in the sources.
- Hiring discipline. Benchmarkit links the rise in ARR per FTE to tighter headcount control and to delaying backfills of attrition until teams assess whether automation or AI can raise productivity.
- Funding and spend. SaaS Capital reports that equity-backed companies spend about 70% more on sales, 64% more on G&A, 100% more on marketing, 56% more on R&D and 100% more on customer success than bootstrapped ones, which is consistent with their lower figure.
- AI. Benchmarkit cites AI-native companies at far higher revenue per employee, such as Cursor at $1.67M per employee with 60 people and Midjourney at $4.7M, but warns that many of these are annualized monthly run-rate revenue, not trailing 12-month GAAP revenue, and estimates steady-state AI-native productivity at 3-5x traditional SaaS, not 10x. In the 2025 High Alpha survey, AI-native startups grew about 3 times faster than peers with gross margins about 5 points lower.
None of the pages I read publishes ARR per employee split by product-led versus sales-led motion, so I give no PLG number. SaaS Capital's page does not mention AI at all.
Related efficiency metrics
ARR per employee is an output of how you run the business. Pair it with metrics that show why it moved.
- Burn multiple. Craft Ventures defines it as net burn divided by net new ARR. Benchmarkit targets a burn multiple below 1.0 at $25M-$50M ARR, trending toward zero over time. Craft says 3x or more signals extraordinary investment and may point to a product-market fit or other problem.
- Magic number. Typically net new ARR divided by prior-quarter sales and marketing spend, often annualized by multiplying by 4. Sources disagree on the efficient threshold (0.7, 0.75 and 1.0 all appear), so I give no single cutoff. See Klipfolio.
- Rule of 40. Brad Feld's version: growth rate plus profit should add up to 40%. Bessemer's related efficiency score adds free cash flow margin to ARR growth and targets 70% at $25-50MM ARR and 50% at $100MM+.

How a revenue leader should use it
- Benchmark against your band. Compare to the nearest published ARR band and your funding type, not to the public-company average.
- Split it by function. Ask whether the gap sits in sales, customer success or R&D. Ratios inside the revenue team often explain more than the company-wide number.
- Tie headcount asks to ARR. Before a hire, state the net new ARR you expect and how it moves the ratio. Going from 80 FTE and $12M to 90 FTE and $14M lifts $150K per FTE to about $156K, a fair trade if growth continues.
- Read it with growth. A rising ratio from layoffs alone is not efficiency. Check it against the burn multiple and net new ARR.
- Trend your own number. The direction over several quarters, measured the same way, is more reliable than any survey comparison.
Limits of the metric
- Samples differ. SaaS Capital covers private companies surveyed in March 2026; Benchmarkit reflects 2024 results; High Alpha respondents are mostly US companies at $5-20M ARR.
- Self-reported data. These are surveys, and SaaS Capital does not describe how respondents were sampled.
- Definitions vary. ARR versus revenue, FTE versus heads, contractors in or out.
- Mix matters. Services-heavy products, usage-based pricing and offshore teams can move the ratio without changing efficiency.
- It misleads if used alone. Cutting customer success or R&D raises the ratio today and can cost retention later.
Questions people ask
What is a good ARR per employee for a SaaS company?
It depends on size and funding. SaaS Capital's 2026 median across private SaaS is $141,125, Benchmarkit reports $200,000 per FTE at $50M-$100M ARR and $300,000 above $100M, and High Alpha's best-in-class figures are $350K at $20M-$50M ARR and $400K above $50M. Compare against your own band.
How do you calculate ARR per employee?
Divide ending ARR by full-time equivalents. Decide whether contractors and part-timers count and say so. Benchmarkit notes the E in FTE means equivalent, not employee.
Is revenue per employee the same as ARR per employee?
No. SaaS Capital uses ARR per employee in the body of its study; the public-company figures here divide annual revenue by headcount, so they are not directly comparable.
Do bootstrapped SaaS companies have higher ARR per employee?
Per SaaS Capital, yes, at each level of ARR it studied. At $5M-$10M ARR the medians are $177,240 for bootstrapped and $152,295 for equity-backed.
Does AI change the benchmark?
Benchmarkit cites AI-native companies far above traditional SaaS but cautions that many figures are annualized run-rate revenue, and estimates 3-5x traditional SaaS at steady state.
Which public SaaS companies can I compare to?
Dividing 10-K revenue by employees gives roughly $350K for HubSpot, $423K for Datadog and $498K for Salesforce, from their latest annual reports. These are revenue figures, not ARR per FTE.
